Scope and Purpose

- Responsible for the Back Offices Operations, such as Import/Export LCs and Bills, Deposit and Remittance, Loans and Settlement
- Directly accountable for the management and operations of the Trade Finance and Payments Back Office, liaising with and advising management and other departments of the Branch relating to operational issues
- Responsible for all financial and operational aspects of business in view of Bank's strategy. Also assist the Chief Finance Officer ("CFO") with coordination in business planning, budgeting, and performance measurement efforts for bank's business in Qatar, including projects management with Head Office
- Monitor the projects/simulation tests/drills organized by CFO, Global ICT and Head Office related projects for Operations
- Ensure that all transactions are properly entered and maintained into accounting records
- Ensure timely and accurate verification of all daily reports aimed at highlighting any possible issues within the branch's accounting books, including cooperating with the Accounting dept. (e.g. for Reconciliation of Nostro Account)
- Support the CFO and Accounting dept. with preparation of QFCRA regulatory reporting and management of internal and external audits to ensure compliance
- Support the Front/Business depts. to understand and accommodate clients' needs as appropriate
- Manage the Operations area to ensure everyday smooth functioning
- Swift Bank's incoming/outgoing message management
- Handle irregularities and customer's complaints on operational issues
- Verify procedures and reports; monthly, quarterly and daily proof operations, archive operations and monthly Customer reporting
- Review daily report on the non-receipt of funds from Nostro Banks relating to Operations and Loans, monitor the status and follow-up actions
- Review and update the Lists of Conditions related to operations
- Develop, update and implement the procedures and controls relevant to Operations Dept
- Process Loan openings, closing, rollovers as well as Time Deposits, MM, FX and Trade Finance products, monitor maturities and ensure follow up
- Payments and settlements of relevant products, included remittance to/from customers
- Maintain Operations files and archives
- Handle in first instance disputes related to Letters of Credits and Contingent Liabilities, and in cases when amicable settlement is not achieved advise Management on the subsequent course of action
- Oversee and process all aspects (issuance /advising /confirmation /negotiation etc.) of import and export Letters of Credit (confirmed/unconfirmed), reimbursement authorities, assignment of proceeds, Letter of Credit transfers and Documentary Collections
- Oversee and process all aspects of bank Guarantees to be issued on behalf of customers or correspondent Banks
- Letter of Credit discounting, in coordination with Corporate RM / GTB desk and Head Office Treasury for relevant funding
- Ensure accuracy when issuing/processing any amendments to import, export, reimbursements and transfers of Letters of Credit
- Monitor the payment/settlement of LC's payable at sight (import and export), bankers' acceptances (import and export), discounted acceptances, deferred payments (import and export) and reimbursement payments
- Schedule, process and monitors all fees referred to LCs, guarantees and collections
- Verify procedures and reports; monthly, quarterly and daily proof operations, archive operations and monthly Customer reporting

Required Experience

10 to 15 years of experience in a Financial Institution and preferably in GCC Region with at least 7 years of experience as Operations Manager

Competencies Required

- Languages: fluency in English, both oral and written, is mandatory. Knowledge of Arabic and/or Italian would be preferable
- Academic background: Bachelor Degree in Economics or related field
- Computer: confident user of with Microsoft Office and Swift. Knowledge of AS400 system applications is preferable
- Personal skills: strong communication and interpersonal skills, strongly organised person, highly flexible and open minded, able to work under pressure; result oriented, problem solving and team oriented personality.
- Local and corporate knowledge sound experience of Gulf/Qatari environment, customs and practices would be preferable. Thorough knowledge of Intesa Sanpaolo's operations, systems and procedures
- Excellent knowledge of banking operations across the whole spectrum of corporate and investment banking products and services
- Solid background in Accounting and Finance
- Sound knowledge of Incoterms and UCP
- Thorough experience on the field of Trade Finance, Loans Administration, Settlement and across various Banking Operations activities
- Excellent experience in System Application Test
