Scope and Purpose

Responsible for the overall office management and HR-related administrative activities to ensure a smooth and safe working environment, including managing supplies for the office,  ensuring timing payments and accounting recording of all invoices, bills and salaries. Also, in charge of the Branch BCM, safety and reception.
•    In charge of all KvK (Dutch Chamber of Commerce and Business Registry) institutional communications and applications;
•    Managing digital identities applications for all the branches signatures (e-Herkenning aanvragen);
•    In charge of the Branch fixed assets, items assigned to personnel and the branch art collection;
•    Petty-cash handling
•    Search, negotiation and management of all non-I.T.-related suppliers of the branch (stationary, services, insurance, pantry, external warehouse, etc) and related agreements (including leasing agreements);  under the supervision of the HAO, the GM and the relevant departments in Head Office.
•    Managing suppliers onboarding, payments and accounting recording,
•    Manage Travel bookings arrangements, visa and expenses approval for staff of the Bank & Entry Approval for all travelers;
•    Handling all HR-administrative tasks, including the management of the HR platform (Mpleo), onboarding of personnel and the overall payroll process, payments and accounting tasks;
•    Manage Corporate card & handphone for eligible staff 
•    Assume the duties of a SMO (Safe Management Officer ) 
•    In charge of branch general email box and all reception duties
•    In charge of the branch Business Continuity Plan and Management (BCP/BCM) and referent for Head Office
•    In charge of the institutional relationship with local non-regulatory authorities (municipality, local tax agencies, Immigration agency), the NVB (Dutch Banking Association in charge of the CLA Banks), FBA (Foreign Banks Dutch Association), Italian Embassy, ITA-NL Chamber of Commerce
•    Attend to any other matters as directed by Management

Required Experience

•    At least 3-year experience in the accounting and/or administration department.
•    Experience in office management and HR- administrative activities

Required Qualifications, Skills and Knowledge

•    Educational background in accounting and/or economic disciplines;
•    understanding of basic accounting rules;
•    knowledge of the regulatory framework with particular regard to CLA Banks;
•    Strong knowledge of Microsoft Office Pack, especially Excel;
•    Fluent in written English and Dutch. 
•    Team-working oriented, with team management experience and ability to organize and plan;
•    Strong attitude to accuracy and attentiveness;
•    Hands-on attitude and flexible approach towards the role and work assignments
•    Able to work in a small environment, with limited resources and under pressure.
